We are bound by the Australian Privacy Principles under the Privacy Act 1988 (Cth). Where we handle information about people in New Zealand, we also comply with the Privacy Act 2020 (NZ). Where we handle information about people in the United Kingdom or Europe, we comply with the UK GDPR and EU GDPR as applicable.

Sensitive information
Some of what we collect is sensitive information under the Privacy Act. This includes professional registration details and, where relevant to a role, information about criminal history checks or disciplinary findings.
We collect sensitive information only where it is reasonably necessary for recruitment and only with your consent.
Inherent requirements. Our registration form asks whether you have any medical condition or disability relevant to your ability to perform the inherent requirements of a role. You are only required to disclose conditions that are directly relevant to the position, and you are not required to disclose anything beyond that. We use this information solely to understand whether reasonable adjustments may be needed and to match you appropriately, and we do not disclose it to a prospective employer without your consent.
Beyond this specific question, we do not seek out health or medical information. If you volunteer health information elsewhere, for example in a career review conversation, we record only the practical effect on your availability or preferences, not the underlying medical detail.
How we collect it
Directly from you, when you submit a form on our website, send us your CV, speak to us, or complete a career review.
From your nominated referees, with your consent.
From publicly available sources, including LinkedIn and professional directories, where we are identifying candidates for a role.
From our clients, where they refer a candidate or provide information about a role.
If we obtain your information from a source other than you, we will tell you we hold it and why.
Why we collect it
-
To assess your suitability for roles and present you to relevant employers, with your consent
-
To contact you about roles that may suit you
-
To provide services you have requested, including career reviews and CV feedback
-
To conduct reference checks, with your consent
-
To meet obligations to our clients
-
To improve our services and website
-
To comply with legal obligations
We will not present you to any employer without your consent for that specific role.
Who we share it with
Prospective employers. Only with your consent, and only for the specific role discussed. We never send your details to an employer speculatively.
Your current employer. Never. We do not contact your current employer without your explicit written permission.
Your referees. Only those you nominate.
Service providers. We use third party services to run our business, including:
-
Loxo (recruitment CRM, hosted in the United States)
-
Wix (website and forms, Israel and United States)Â
-
Typeform (forms, Spain and European Union)Â
-
Google Workspace (email and file storage)Â
-
Xero (accounting)
-
Calendly (scheduling)
These providers may store or process your information outside Australia. By providing your information you consent to this disclosure. We take reasonable steps to ensure overseas recipients handle your information consistently with the Australian Privacy Principles, but we cannot guarantee they will be subject to Australian law.
Legal requirements. Where we are required to disclose information by law.
We do not sell your personal information to anyone.
Â
Advertising.
We use Meta (Facebook and Instagram) to advertise our services, including to people who resemble our existing candidates and contacts. To do this, we may upload email addresses to Meta, which converts them into a secure, non-readable format for matching against Meta accounts. Meta does not receive your email address in readable form, and matched information is used only to show you relevant advertising, not shared with other advertisers. You can opt out of this at any time by contacting us, or by adjusting your ad preferences directly in your Meta account settings.
Career reviews and CV feedback
Where you request a career review, CV feedback or similar service:
-
We use automated tools, including artificial intelligence, to help analyse your CV and prepare feedback. Your documents are processed for this purpose and are not used to train any third party AI model.
-
A person reviews the output before it is sent to you.
-
Your review is not a job application. We will not present you to any employer as a result of it without contacting you first and obtaining your consent.
-
We will not contact your current employer.
-
The career review form does not ask about medical conditions or disabilities. If you volunteer health information anyway, we record only the practical effect on your availability, not the underlying detail. See "Sensitive information" above for how this differs from our registration form, which does ask an inherent requirements question relevant to specific roles.
-
You may ask us to delete your information at any time.
Â
How long we keep it
We keep candidate information for 36 months from our last meaningful contact with you, after which it is deleted or de-identified.
We keep client and business records for seven years, as required for tax and business record purposes.
We keep website analytics data (Google Analytics) for up to 2 months for individual event records, and up to 14 months for user-level data, in line with our Google Analytics settings.
You can ask us to delete your information sooner. See "Your rights" below.
Why 36 months. Career conversations often run over several years. A nurse who tells us they are planning a move in two years needs to still be in our records when that time comes. We do not keep information beyond this period simply because it might be useful.
How we protect it
We take reasonable steps to protect your information from misuse, interference, loss, and unauthorised access, modification or disclosure. This includes access controls, encrypted storage through our service providers, and limiting access to the people who need it.
Carejobz is a two person business. Only Paul Wheeler and Kate Wheeler have access to candidate records.
No system is completely secure. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.
Â
Cookies and tracking
Our website uses cookies and similar technologies to understand how visitors use the site and to measure the performance of our advertising.
This includes:
-
Google Analytics, which collects information about how you use our site
-
Meta Pixel, which allows us to measure and target advertising on Facebook and Instagram
-
Wix essential cookies, required for the site to function
You can disable cookies in your browser settings, though some parts of the site may not work properly if you do.

Your rights
You can:
-
Access the personal information we hold about you
-
Correct anything that is inaccurate, out of date or incomplete
-
Ask us to delete your information
-
Withdraw consent at any time, including consent to be contacted about roles
-
Opt out of marketing emails, using the unsubscribe link or by contacting us
To do any of these, contact info@carejobz.com. We will respond within 30 days.
We do not charge for access requests in ordinary circumstances. If a request is complex or repeated we may charge a reasonable fee, and we will tell you before doing so.
There are limited circumstances where we may decline a request, for example where it would unreasonably affect another person's privacy. If we decline, we will explain why.
Complaints
If you think we have mishandled your personal information, contact us first at info@carejobz.com. We will investigate and respond within 30 days.
If you are not satisfied with our response, you can complain to:
Office of the Australian Information Commissioner oaic.gov.au 1300 363 992
If you are in New Zealand, the Office of the Privacy Commissioner at privacy.org.nz.

We may update this policy from time to time. The current version is always available at carejobz.com.au/privacy-policy, with the last updated date at the top.
If we make a significant change to how we handle your information, we will tell you.
